FINAL ACCEPTANCE AND FINAL PAYMENT OF CONTRACT K-1718-42 BY AND BETWEEN THE CITY OF NORMAN, OKLAHOMA, AND AUDIO/VIDEO DESIGNS, INC., FOR THE SOONER THEATRE AUDIO SYSTEM UPGRADE PROJECT.

BACKGROUND: The FYE 2018 Capital Improvement Budget includes the second year of a Room Tax-funded project for improvements to the Sooner Theatre. It had been over 20 years since the speakers in the theatre were purchased and installed, during a major improvement project at The Sooner Theatre. The speakers have become worn out and have started to fail in part or whole during shows and needed regular repair. The speakers have now reached the end of their functional life and were scheduled for replacement. Replacing the speakers with new, more efficient and effective equipment would allow the Sooner Theatre, Inc. and those who rent the space to be able to provide a high-quality sound for their productions. Quotes for the replacement project were received and Audio/Video Designs (AVD) was selected to do the work to remove the old equipment and install the new system during a short break in the Sooner Theatre’s busy production schedule.
DISCUSSION: On September 12, 2017 The Sooner Theatre Audio System Upgrade Project was awarded to Audio/Video Designs, Inc. in the amount of $43,971.43.
On October 12, 2017, City of Norman Parks and Recreation Staff inspected the new sound system and found it to be complete per specifications.
RECOMMENDATION: It is recommended the City Council accept the Sooner Theatre Audio System Upgrade Project as complete and authorize final payment in the amount of $43,971.43 to Audio/Video Designs, Inc. Funding is available in the Sooner Theatre Improvements, Construction (account 023-9814-451.61-01; project RT0087).
