CONSIDERATION OF AUTHORIZATION FOR THE PURCHASE OF BLEACHERS FROM BSN SPORTS IN THE AMOUNT OF $49,920 AS PART OF THE GRIFFIN PARK BLEACHERS REPLACEMENT PROJECT.

BACKGROUND: During the FYE 2013 Capital Budget process, City Council approved funding for the Griffin Park Bleachers Replacement Project for the Parks and Recreation Department. This project included replacing all of the damaged bleachers at the softball and baseball fields in the park. The full scope of work includes both the purchase and installation of the new bleachers. The material is being purchased from an equipment dealer; and the installation will be done via a separate contract with a local contractor. Park Maintenance crews will remove the existing bleachers at Griffin Park.
The existing bleachers have been in the park since its initial development in the 1980’s. They have experienced some damage over the years due to normal wear and tear; however over the past two years there have been two extreme weather events that have damaged many of the bleachers to the point that they are beyond repair. Most of the damage was done by a microburst of wind in July, 2011, and by the April 13, 2012, tornado which went through the park. Those damaged the worst by these storms were removed from the park and taken out of service.
This item addresses the bid quotations required to purchase the materials needed for these replacements. Separate quotations for installation of these materials will be obtained from local bidders.
DISCUSSION: A complete list of bleachers was created and distributed for quotations. The lowest and best quotation was received from BSN Sports of Dallas, Texas, in the amount of $49,920 (see attached Bid Tabulation). This is a materials-only purchase, and thus will not require any Contract, Bonds or Resolution. Staff has obtained all the necessary affidavits and warranty information for the purchase and will notify BSN to proceed upon approval by Council.
