FINAL ACCEPTANCE AND FINAL PAYMENT OF CONTRACT K-1617-59 BY AND BETWEEN THE CITY OF NORMAN, OKLAHOMA, AND STREETS, L.L.C., FOR THE 201 WEST GRAY ADMINISTRATION MECHANICAL RENOVATION PROJECT.

BACKGROUND:   This project was requested during the FYE 2017 Capital Budget process; however, due to budgetary constraints, the project was not funded.  The system continued to experience failures resulting in the loss of cooling and heating for the building.  The Administration Building is 17,000 square feet with a boiler chiller system. The system, installed in 1999, exceeded its useful life and required weekly maintenance to keep it functioning.  City Council, in its meeting of November 22, 2016, approved Contract K-1617-59 which included replacement of the entire heating, ventilation and air conditioning (HVAC) systems, with the exception of the ductwork.  Funding for this project was transferred to Project BG0065, 201 West Gray Mechanical Renovation HVAC, Construction (050-9935-419.61-01) on November 22, 2016, from budgeted projects which are multi-year projects and the transfers were not expected to adversely impact the portion of the projects scheduled for FYE 2017.  Additional funds will most likely be needed in future fiscal years to complete the projects that the funds were originally allocated for.

 

DISCUSSION:   The project is now complete and meets specifications. The system will be controlled by the same Automated Logic Control System currently used throughout the Municipal Complex, which will allow them to be monitored via computer from a remote location.

 

RECOMMENDATION: It is recommended that the City Council accept the 201 W Gray Admin Mechanical Renovation Project as complete and authorize final payment in the amount of $68,272 to Streets LLC. Funding is available in Construction (account 050-9935-419-.6101; project BG0065).
