CONSIDERATION AND AWARDING OF BID 1617-12A FOR THE PURCHASE OF INLETS, FRAMES, GRATES, & CURB HOODS FOR THE STREETS AND STORMWATER DIVISIONS.

BACKGROUND: The City of Norman Street and Storm Water Maintenance Program utilizes on a frequent basis inlet frames, grates and curb hoods in storm system installations. Quantities of the materials purchased annually vary depending on individual project scope and unscheduled repairs and maintenance activities. A total of 88 inlet frames, grates and curb hoods were purchased in FYE 2016 at a cost of $10,770.

 

DISCUSSION: Bids were sent to seven (7) vendors and Bid Number 1617-12A was opened on September 29, 2016 with three (3) vendor bids received for inlet frames, grates and curb hoods; other bidders chose not to participate. The average unit price of the materials has increased 0.51% from the 2016 bid price. If approved, the purchase contract for the materials is effective through October 31, 2017.  Funding for inlet frames, grates and curb hoods is provided in General Fund accounts for regular maintenance and operation and in Capital Fund accounts for capital projects.

010-5022-431.33-99 - Other Construction Materials - $ 29,000

 

Capital Improvement Projects FYE 2017

050-9906-451.63-01 - Force Account Drainage - $ 40,000

 

RECOMMENDATION: Staff recommends BID-1617-12A be awarded to the low bidder as shown on the Bid Tabulation.  We further recommend that the bid also be awarded to the alternate bidder so that the material will be available when the primary bidder cannot deliver it.
